Invitation to eLearning for Employees without Email

eLearning provides the ideal way to train your employees interactively, playfully and above all simply. Have you ever wondered how to train employees with digital courses when they do not have a business/work email address?

In fact, this question arises in practice more often than many may realize. Employees in retail, kindergartens, and healthcare facilities are just a few examples. Yet, even within these groups, data protection, information security, compliance; and workplace safety training needs regular reinforcement.   1. Compliance with accountability requirements without a significant administrative burden. Most employees can be invited automatically to attend courses via a learning platform. Training progress can be tracked within the system, participation certificates can be generated automatically. Simply put participant and training management can be set up using smart solutions.
  2. eLearning courses reach all employees, not just current staff but also new colleagues. Furthermore, absences are no longer an issue. Each employee can decide when to complete the training within a given timeframe. Even if someone is absent for an extended period, such as parental leave, the course can just be completed upon their return and will update automatically in the system.

 eLearning is also accessible to employees without their own email addresses. Using private email addresses in such cases should be avoided for data protection reasons. Using a private email address lacks a legal basis within the employment relationship, and obtaining consent is often problematic due to the involuntary nature of the work relationship in most cases.

QR Code as a solution

Therefore, there is a need for a media transition since employees require a link to the eLearning and their login details. Nonetheless, there is a relatively straightforward method available that easily encapsulates the information from a complex link in the form of a QR code. At this stage, employees only need the specific QR code alongside the instructions to complete the training. The relevant training can then be completed, for example, on a personal smartphone or tablet.

Can employees use personal devices to complete the training?

From our perspective, yes since personal data will not be handled by the device. However, the use of personal devices for training purposes must be entirely voluntary. This means alternatives must be provided if employees are unwilling to use personal devices for training. In such cases, company devices (PCs, laptops, smartphones, tablets) can be made available for the duration of the eLearning.
